Cycle Count Stock Takes - Action On The Mobile App

How to view and action cycle count stock takes using the Access Mintsoft mobile app.

Once an on demand Stock Take or a cycle count Stock Take has been created, you can action it using the Access Mintsoft mobile app. Both are processed in the same way. You can begin a new count, join one that is already in progress, scan locations, log quantities, and complete the Stock Take when all counts are recorded.

You will need the Admin role to perform Stock Takes on the mobile app. Which Stock Takes you can see depends on how the Stock Take was assigned β€” see the assignment types below.

Note: This feature is currently being beta tested. Check future release notes to see once added to general release.


View available Stock Takes

To see Stock Takes that are ready to action:

  1. Open the Access Mintsoft mobile app.

  2. Tap Stock Take from the home screen.

  3. You will see a list of available stock takes in either the New or In Progress tabs.

Note: If a Stock Take is assigned to a specific user, only that user will see it in their list. Stock Takes assigned to All - Multi or All - Single are visible to all Admin users.


Begin a Stock Take

To start a Stock Take that has a status of New, navigate to the New tab on the Stock Take page on the app. Then select the Stock Take you want to action. The status of the Stock Take moves to In Progress and the Stock Take begins.


Join an In Progress Stock Take

If you exit a Stock take assigned to you, you can re-enter it. If a Stock Take is already In Progress and is assigned to All - Multi, you can join it to count alongside other users. Navigate to the In Progress tab on the Stock Take mobile app page. Then select the Stock Take you want to action.

Note: For All - Mutli Stock Takes, you will be assigned a set of locations to count, spaced to maximise the physical distance between users.


Progressing through a Stock Take

Once you have begun or joined a Stock Take:

  1. Scan the location barcode as directed, to confirm you are in the correct place.

  2. Scan or tap a product from the Products To Verify list.

  3. Continue to scan or tap and enter the counted quantity for the product.

  4. Click Confirm

  5. User will be warned if a discrepancy is detected, giving them an opportunity to double-check their count before proceeding.

  6. Repeat for all Products to Verify in the location.

  7. Click Proceed to continue to the next location and repeat until the Stock Take is complete.

Additional Notes

  • The Stock Take will also display Other Products in Location. This is to give the user awareness of additional location contents, with no requirement to count them.

  • The Stock Take also has an Add Unexpected Product button, so that a user can add stock if they identify a product not listed in the location.


Skip and revisit locations

If you need to skip a location, for example if a colleague is picking orders and obstructing your way or there's a blockage in the warehouse, you can skip and return later. There are 2 options:

  • You can click the Proceed button before verifying products. This will take you to the next location in sequence.

  • You can click the 3 dot menu and select Reposition Me. This will move you to a new area within the Stock Take.

When skipping, the location is marked as skipped and you are moved along. Once you have worked through the remaining locations, you will be prompted on the app to either revisit any skipped locations to complete the count.


2nd Counts

If the Stock Take was configured to require a 2nd counts against discrepancies, and a difference is found between your counted quantity and the expected stock level, a 2nd count will be required. The 2nd count must be performed by a different user outside of the original Stock Take. More information can be found here.


Complete a Stock Take

Once all locations have been counted tap Complete to finish your assignment. If other users are still counting, the stock take stays In Progress until all assignments are completed. When all assignments are done, the Stock Take is marked as Complete.

Important: You cannot undo a completed Stock Take. Make sure all counts have been logged correctly before tapping Complete.
