Once an on demand stock take has been created, you can action it using the Access Mintsoft mobile app. You can begin a new count, join one that is already in progress, scan locations, log quantities, and complete the stock take when all counts are recorded.
You will need the Admin role to perform stock takes on the mobile app. Which stock takes you can see depends on how the stock take was assigned β see the assignment types below.
Note: This feature is currently being beta tested. Check future release notes to see once added to general release.
View available Stock Takes
To see stock takes that are ready to action:
Open the Access Mintsoft mobile app.
Tap Stock Take from the home screen.
You will see a list of available stock takes with a status of New or In Progress.
Note: If a Stock Take is assigned to a specific user, only that user will see it in their list. Stock takes assigned to All - Multi or All - Single are visible to all Admin users.
Begin a Stock Take
To start a Stock Take that has a status of New:
From the Stock Take list, select the Stock Take you want to action.
Tap Begin to start the count.
The status moves to In Progress and counting locations are assigned.
Join an in-progress Stock Take
If a Stock Take has already been started and is assigned to All - Multi, you can join it to count alongside other users:
From the Stock Take list, select the Stock Take with a status of In Progress.
Tap Join to add yourself to the count.
You will be assigned a set of locations to count, spaced to maximise the physical distance between counters.
Scan locations and log counts
Once you have begun or joined a stock take:
Scan the location barcode or select the location from the list.
Enter the counted quantity for each product in that location.
Tap Log Count to save your count for that location.
Continue to the next location and repeat until all your assigned locations are counted.
Skip and revisit locations
If you need to return to a location later, you can skip it and come back:
When on a location you are not ready to count, tap Skip.
The location is marked as skipped and you move on to the next one.
Once you have worked through the remaining locations, you can revisit any skipped locations to complete the count.
Second Counts
If the stock take was configured to require a second count on discrepancy, and a difference is found between your counted quantity and the expected stock, a second count will be required. The second count must be performed by a different user:
When prompted, a different Admin user selects the stock take, which will show a status of 2nd Counts.
That user recounts the relevant locations and logs the quantities.
Tap Log Count to save the second count.
Complete a Stock Take
Once all locations have been counted and any second counts are resolved:
Tap Complete to finish your assignment.
If other users still have assigned locations remaining, the stock take stays In Progress until all assignments are completed.
When all assignments are done, the stock take is marked as Complete.
Important: You cannot undo a completed stock take. Make sure all counts have been logged correctly before tapping Complete.
