On demand stock takes let you create and run a stock take whenever you need one, without waiting for a scheduled cycle count. You configure the stock take, choose which locations and products to include, and assign it to the relevant users — then action it immediately from the mobile app.
This guide covers what on demand stock takes are, how they work, and what you need to get started. You will need the Admin role to create and action on demand stock takes in Access Mintsoft.

What are on demand Stock Takes?
An on demand stock take is a one-off, manually triggered stock take that you create and start when needed. Unlike cycle counts, which run automatically on a recurring schedule, on demand stock takes are created individually and started by an Admin user.
Each on demand Stock Take lets you define:
Which Warehouse and Client the count applies to.
How the count is conducted (counting style, empty locations, unit range).
Who can perform the count (assignment type).
Which Warehouse Locations to include (location range).
Which Products to include (product range).
What you need
Before creating an on demand stock take, make sure you have:
The Admin role in Access Mintsoft.
The Stock Take feature enabled on your account — contact your Access account manager if you are unsure.
Important: You need the Admin role to create, manage, and perform on demand stock takes. Users without the Admin role cannot access this feature.
How On Demand Stock Takes work
The on demand stock take process follows three stages:
Configure — create a new on demand stock take via the web interface, defining the counting settings, location range, and product range.
Start — Admin users begin the stock take from the Access Mintsoft mobile app. The stock take starts with a status of New and moves to In Progress once begun.
Count — Admin users scan locations, log quantities, and complete the count on the mobile app. If discrepancies are found, a second count may be required before the stock take can be completed.
On Demand Stock Take statuses
On demand stock takes move through the following statuses:
New — the stock take has been created but not yet started.
In progress — counting is underway.
2nd counts — all first counts are complete but discrepancies were found, requiring second counts before the stock take can be completed.
Complete — all counting, including any second counts, is finished.
Where to find On Demand Stock Takes
Within Mintsoft, go to Stock Take.
Then Click Overview.
All on demand stock takes are listed here, alongside any cycle count stock takes. You can filter the list by status using the Status dropdown.
Note: If you cannot see the Stock Take menu, your account may not have the feature enabled. Contact your Access account manager for assistance.
