On Demand Stock Takes - Getting Started

An overview of on demand stock takes in Access Mintsoft, how they work, and what you need to get started.

This guide covers what 'on demand' stock takes are, how they work, and what you need to get started. You will need the Admin role to create and action on demand stock takes in Access Mintsoft.

What are on demand Stock Takes?

An on demand Stock Take is a manually triggered, one-off Stock Take that you create and start whenever needed. This is different to scheduled cycle counts which create new stock takes automatically. You configure it by defining exactly which locations and products to include, then assign it to the relevant user(s) to complete from the mobile app.

Each on demand Stock Take lets you define:

  • Client and Warehouse - who and where the stock take applies to.

  • Location Range - which warehouse locations are included.

  • Product Range - which products are included

  • User Assignment - which user(s) can perform the count.

  • Additional Config - counting style, 2nd counts, empty locations, and unit range.


What you need

Before creating an on demand stock take, make sure you have:

  • The Admin role in Access Mintsoft.

  • The latest version of our Mobile app.

  • The Stock Take feature enabled on your account - currently this is only available to beta testers.

Important: Fully defined user roles are not available during beta testing, but will be ready for full release.


How On Demand Stock Takes work

The on demand Stock Take process follows three stages:

  • Configure - Create a new on demand Stock Take via the web interface, defining the Count Settings, Location Range, and Product Range.

  • Action - Admin users begin the stock take from the Access Mintsoft mobile app. The stock take starts with a status of New and moves to In Progress once begun Admin users scan locations, log quantities, and complete the count on the mobile app.

  • 2nd Counts - If discrepancies are found and 2nd counts are required by the Stock Take config, a 2nd count of stock will be required before the stock gets adjusted in the system.


On Demand Stock Take statuses

On demand stock takes move through the following statuses:

  • New β€” The Stock Take has been created but not yet started.

  • In progress β€” Counting is underway.

  • 2nd counts β€” All first counts are complete but discrepancies were found, requiring second counts before the Stock Take can be completed.

  • Complete β€” All counting, including any second counts, is finished.


Where to find On Demand Stock Takes

  1. Within Mintsoft, go to Stock Take on the menu.

  2. Then Click Overview.

All on demand Stock Takes are listed here, alongside any cycle count Stock Takes. You can filter the list by status using the Status dropdown.
