Creating accounts and logging in

Creating warehouse user accounts for Mintsoft are done on Access Evo. Once setup the warehouse user can login to Mintsoft through om.mintsoft.co.uk and authenticate themselves using Access Evo. Warehouse Users are specifically designed to handle operational tasks, such as uploading stock and managing imports, whereas Client Users are restricted to client-based activities and cannot perform warehouse-related functions. This distinction is crucial for assigning appropriate roles during the account creation process.


How do I migrate an existing user to Access Evo?

If you have an existing user account created directly on Mintsoft, not Access Evo, you must delete the user from Mintsoft and recreate it on Access Evo, this is required for certain features like the use of the Access Mintsoft app. This is also necessary to resolve conflicts such as duplicate email issues or to reconfigure the account for warehouse-specific functionalities, which may not be supported by client user roles.

Important: Remove all notifications from the user account before deleting it. Failing to do this causes errors.

Another Warehouse Admin must complete these steps:

  1. Within Mintsoft, click Settings then Warehouse User Accounts.

  2. Next, search for the user that needs to migrate.

  3. Click Actions then Delete.

  4. Once deleted, please continue with one of the methods below.


Add a Warehouse user - Email Address

The Add User button has been removed from Mintsoft, customers are required to add new Warehouse Users on Access Evo. To add a new Warehouse account for Mintsoft using an email address, please do the following:

  1. Log into Access Evo.

  2. Click the Members icon.

  3. Click Add then click Using an email address.

  4. Select one of the following -

    • Add members in bulk: If you have a lot of members to add, use this option to enter multiple email addresses at once, separated by a comma or space.

    • Add members individually: Use this option to enter the name, email address, and organisation role of each member individually.

    • The organization's role determines whether the new member is an administrator on Access Evo or an end-user.

  5. You can enter a personalized message to include in the sign-up email if required.

  6. Click Add.

  7. Check the following password requirements -

    • Password length must be at least 12 characters long.

    • Cannot include such words as: password, access, mintsoft, admin, test, 1234, p@ssword.

    • Must contain one uppercase letter and a number.

Resend the sign-up email

If any of your members haven't received their sign-up email, don't worry. You can resend it by following the steps below. You can also resend it in bulk if you have multiple members that haven't received it.

  1. Log in to Access Evo:

  2. Click the Members menu.

  3. To find a member, in the Search field, type the person's name.

  4. Click the three dot menu at the top right of the member's name card.

  5. Click Resend signup email. If you can't see the option to resend the welcome invite email again, your user has already accepted it and has an active status.


Add a Warehouse user - Username Only

To add a new member without an email address and instead with a username (Beneficial for pickers, packers, and temporary staff) you will first need a Friendly URL (If you already have a Friendly URL skip to Step 5), once this has been done, please follow the below steps to learn more:

  1. Log into Access Evo.

  2. Click Organisation Settings then General.

  3. Click Create a Friendly URL.

    • Tick the box to enable username members

  4. Save changes.

  5. Log out and then back into Access Evo.

  6. Click Members icon.

  7. Click Add then click Using a username.

  8. Enter the following:

    • First name.

    • Last name.

    • Username - this must be unique.

  9. Select the user's role.

  10. Check the following password requirements -

    • Password length must be at least 12 characters long.

    • Cannot include such words as: password, access, mintsoft, admin, test, 1234, p@ssword.

    • Must contain one uppercase letter and a number.


Upload Warehouse Users In Bulk

It may be the case you need to add many users at once, for a new Mintsoft account or when Migrating from an old user method. You can upload users, and pre-define their roles using an upload spreadsheet. Please follow the steps found here: Access Evo: Import Members.


Applying the Mintsoft role to a Warehouse user

Once the invite has been accepted to join the Evo and the account has been created, you will need to apply the Mintsoft role to the user:

  1. Log into Access Evo.

  2. Click the Members menu.

  3. To find a member, in the Search field, type the person's name.

  4. Click the three dot menu at the top right of the member's name card.

  5. In the Manage Roles list, select the relevant role for Mintsoft:

    • Selecting User won't apply any Mintsoft-specific roles/ permissions.

    • Selecting Admin will apply all Mintsoft-specific roles/ permissions.

  6. Click Save.


Amending roles and permissions for Warehouse User Accounts

Once the Warehouse User Account has been created and the Mintsoft role has been added, you can then add Mintsoft-specific roles and permissions. To add or amend a warehouse user accounts roles and permissions within Mintsoft, please do the following:

  1. Within Mintsoft, click Settings then Warehouse User Accounts.

  2. Find the relevant user and click Actions.

  3. Click ManageRoles then select the relevant permission.

  4. Click Update.


Troubleshooting Common User Issues

Problem: Cannot Add a Warehouse User After Recreating Them If you encounter this issue, it may be due to conflicting email addresses between users. For example, if a client user and a warehouse user share the same email:

  1. Delete the duplicate client user account.

  2. Alternatively, recreate the client user with a different email address to ensure the warehouse user has a unique email.

  3. Retry adding or importing the warehouse user.


Using the Courier Print Tool

To log into the Courier Print Tool, you will need to know the following: The Mintsoft Print Tool operates on a per-user basis, requiring individual user logins to ensure smooth operation. To enable effective communication and functionality during picking, it is important to ensure shared login usage. This means the same user login must be applied across both the PC running the Print Tool and any connected mobile scanner.

  • Enable the Print Using Courier IntegrationTool user setting.

    1. In Mintsoft click Settings then User Settings.

    2. Set Print Using Courier IntegrationTool to ON.

    3. Click Save.

  • You can log into the Print Tool with one of the following methods -

    1. Sign in with Access (Default).

      • This will allow you to enter your Evo credentials to log in.

    2. Use Mintsoft Login.

      • Username: Enter your Mintsoft Username.

      • Password: Enter your Mintsoft Password.

  • Automation and printing settings within Mintsoft are configured on a per-account basis. For setups involving multiple user accounts, these settings must be individually enabled for each account that requires automation behaviors. Without this, the intended automatic print/dispatch functionality will not apply universally.
