Stock Take - Spot Checks

Spot Checks are a feature within the Mintsoft Stock Take functionality which allows warehouse operatives to verify stock accuracy while picking orders, as an additional check after a pick takes place.

Note: This feature is currently being beta tested. Check future release notes to see once added to general release.


Important: This feature must be used alongside 'Tote Locations' to ensure that stock in locations is accurate, due to the fact traditional totes leave the item in its original storage location until the point of despatch. Failure to do so would result in additional discrepancies and administration. Please review the Tote Location Type.

Spot Check Configuration

  1. Go to Stock Take.

  2. Then select Spot Checks Config.

  3. Click Create New.

  4. Configure the Rule.

  5. Click Save.

Configurable Options

  • Client

    • You can select a specific Client or leave it as ALL.

  • Warehouse

    • You can select a specific Warehouse or leave it as ALL.

  • Location Types

    • Which Location Types this rule applies to, if left blank it defaults to ALL.

  • Pick Types

    • Which Pick Types this rule applies to, if left blank it defaults to ALL.

  • Counting Style

    • If you set it as a Blind Count, the user does not see the expected quantity. Whereas if you set it as an Open Count, the user does see the expected quantity.

  • Require 2nd Count if Discrepancy Found

    • If ON and a discrepancy is found on the 1st count, a follow-up count is required before any adjustments are made to the stock level. This must be completed by a different user. If OFF then adjustments are made immediately following the count.

  • Include Products with Serial Numbers

    • This allows you to include or exclude products with Serial Numbers, as these counts would take longer.

  • Threshold

    • This is the unit of stock remaining after a pick to trigger the Spot Check.


Completing Spot Checks

  1. Login to the Access Mintsoft App.

  2. Proceed with order picking as normal.

  3. If a oick meets the requirements outlined to trigger a Spot Check, the user will receive a pop up as and is asked to confirm the remaining quantity left in that location.

  4. You then must count the stock remaining in the location, and enter the number of units left.

  5. Then select Confirm.
