Fix incorrect stock allocation

ASN booked in Stock

Sometimes if the order is showing the incorrect Allocated Stock, it can be caused by the wrong amount of stock being booked into Mintsoft e.g. You booked 120 on an ASN when in fact only 60 were delivered. This leads to orders being released from backorder ready for picking yet the stock doesn't exist. Because the stock is allocated against orders you can't simply just book it out as it needs to be unallocated first, by doing the following:

Check your Allocations settings

This is to stop the stock being allocated to other back orders.

  • For 3PL Users navigate to Clients then Overview and then find the specific client and click Edit.

  • For Multi-Channel Users navigate to Settings then Client Settings.

  • Navigate to the Default Tab and make sure that below fields are set to Manual.

  • Holding Order Policy - What Should happen when items are out of stock.

  • Back Order Stock Allocation Policy - Part Allocate stock to back orders.

Unallocate the stock from back orders

  • Option 1:

    1. Click Orders then Overview

    2. Tick the Order(s) then from Bulk Actions select Unallocate Stock.

    3. Finally, click Go.

  • Option 2:

    1. Click Products then Overview.

    2. Click Actions against the product then Manage Inventory

    3. Finally, click the Allocations Tab.

    4. Click the Unallocate Button from the relevant orders.

  • Consider turning off the ecommerce connection temporarily if your orders are linked to an external platform (such as Shopify). This prevents stock changes from re-syncing prematurely.

Once the stock has been unallocated then correct it by booking the stock out to get to the correct. Once that is done you might need to reprocess any affected orders if you have unallocated all the stock and want to reallocate to a select number of orders. Change the Defaults back to your normal preferences.


Discrepancies of Stock on Orders

Issues can occur when the Quantity shown on Documents like the Picking Sheet or the Despatch Note are different to the quantity on the order. This can be caused by an order being on Back Order, then moving to New but the documents haven't updated the Quantity, this should be an automatic update and can also be automatically updated when you generate a shipment for the order, but if it doesn't, please speak with the Mintsoft support team or raise a support ticket.


Fix negative stock allocation errors

This error occurs when Mintsoft has allocated more stock to orders than is available on hand, leaving the available quantity at zero or negative. Common causes include an incorrect ASN booking quantity, stock that was removed from the system without first unallocating orders, or a discrepancy introduced by a connected sales channel.

Check which products and orders are affected

  1. Click Products then Overview.

  2. Find the affected product and click Actions then Manage Inventory.

  3. On the Inventory tab, check whether the Allocated quantity exceeds On Hand. If it does, the available quantity will be zero or negative.

  4. Click the Allocations tab to see which orders are consuming the stock.

Correct the stock and reprocess orders

  1. Unallocate the affected orders using the steps in the Unallocate the stock from back orders section above, or by selecting orders in Orders then Overview and choosing Unallocate Stock from Bulk Actions.

  2. Correct the on-hand stock figure using the Book Inventory page or a Goods In / Out Spreadsheet upload.

  3. Once stock is corrected, click Actions then Reprocess on each affected order, or allow them to reallocate automatically on the next sync cycle.

Tip: Before unallocating, set the Holding Order Policy and Back Order Stock Allocation Policy to Manual using the steps in Check your Allocations settings above. This prevents orders from re-allocating to the insufficient stock before you have finished the correction.
