3PL Accounting - Confirming an invoice

Steps you can take to review, confirm or unconfirm a client invoice and send it to your accounting platform.

Once an order has the Invoiced status, you can confirm its invoice and send it to your client. You can use the third-party logistics (3PL) Accounting area to review, edit, confirm and unconfirm invoices.


View and check unconfirmed invoices

Before you confirm an invoice, you can review it to check the figures are correct:

  1. Click 3PL Accounting, then click Overview.

  2. Select the client from the View Unconfirmed Invoice Items section.

  3. Click View.

  4. Filter the items you see in the Unconfirmed Invoice using the following filters:

    • Warehouse: Select all warehouses or a specific warehouse.

    • Channel: Select the order channel the orders imported against, or select all channels.

    • From Date and To Date: Set the period of items you want to include. For example, you can invoice only the items for June or July.

  5. Once set, click Filter.

  6. Find the line-by-line breakdown below the filters.

  7. To edit the order figures, on the right of the order row, click Edit.


Confirm an invoice

When you are happy with the figures, you can confirm the invoice and create it for your client:

  1. Find the Create Invoice section below the order rows.

  2. Check the filters are still set as you need them, then click Filter.

  3. Enter a reference in the Invoice Name field.

  4. If you need to, enter any comments.

  5. Click Create Invoice.

šŸ“ŒNote: The filters in the Create Invoice section work in the same way as the filters you used to review the invoice.


Unconfirm an invoice

If you make a mistake, you can unconfirm an invoice and make changes. Follow these steps:

  1. Click 3PL Accounting, then click Overview.

  2. Select the client from the View Invoices section.

  3. Click View.

  4. A summary of all confirmed invoices for the selected client appears.

  5. Click Unconfirm Invoice.

Mintsoft unconfirms the invoice and the invoiced items appear again in the Unconfirmed Invoiced Items section. You can then make changes, but you need to confirm the invoice again.


Send an invoice to your client

Once you have confirmed the invoice, you need to send this data to your accounting platform.

If you have an accounting integration

If you have connected one of our accounting integrations, click Create Invoice in Accounting Integration.

If you do not have an accounting integration

If you do not have a connected accounting platform, you need to manually supply this data to your account's platform. You can use the Invoice Summaries Report to do this in bulk for several clients:

  1. Click Reports, then click Overview.

  2. Find the 3PL Admin Accounting Reports section.

  3. Click Invoice Summaries Report.
