Custom Commercial Invoice - Configuration and Setup

When sending shipments internationally (i.e. from the UK going overseas, including Northern Ireland, Jersey and Guernsey) you'd need to use a Commercial Invoice, and you may wish to use a Custom Commercial Invoice to include certain fields or designs, based on your client's specification. You will only be able to see the Custom Note Templates option if you have purchased the Custom Documents Module.

Creating a custom commercial invoice

Note: If you would like a Custom Commercial Invoice Template to work from, please download the document attached at the bottom of the article.

To create a custom commercial invoice, please follow the steps below:

  1. Open Microsoft Word.

  2. Create a table with two default rows and as many columns as you require.

  3. The first row is the title of the attribute (SKU, Name, Quantity, etc).

  4. The second row is the corresponding tag.

  5. You can add the tags by clicking Insert next Quick Parts, then Fields.

  6. From the list of field names select MergeField.

  7. In Field Name, enter a value from the Merge Pick Table list in the Available Tags section below.

    • The table needs to have TableStart:CustomsTable first and end with TableEnd:CustomsTable.

  8. Choose the Format as (none).

  9. Click OK.

  10. Repeat steps 5-9 to add all required tags.

  11. Continue designing the invoice to your requirements.

  12. Save the document as .docx (Other formats like PDF are not supported).

Upload Custom Commercial Invoice

Once you have created your Custom Commercial Invoice, you can then upload it:

  1. Click Settings then Commercial Invoice Templates.

  2. Next, click Add CommercialInvoice Template.

  3. Click the Choose File button to upload your custom template.

  4. Set a Name for your custom despatch and then select the Paper Size.

  5. Provide a font name with font size in the fields CommercialInvoiceTableFontName and CommercialInvoiceTableFontSize.

  6. You can sort the picking table based on Location, Picking Sequence, Name etc.

  7. Turn on the MergedCommercialInvoiceTable toggle if the template has a custom picking table.

  8. Finally, click Add.
